When should your wedding RSVP deadline be?

Set your reply date by working back from your venue and caterer, not from a rule of thumb. Here is how to pick the right date, how to word it, and what to do when it passes.

Most UK couples set their RSVP deadline around four to six weeks before the wedding. But the right date for you depends on one thing above all: when your venue and caterer need your final numbers. Find that date in your contract, set your reply deadline a few weeks before it, and you will have time to chase the guests who go quiet without a last-minute scramble. Here is how to work it out.

How many weeks before the wedding should the RSVP deadline be?

Four to six weeks before the wedding is the range most commonly suggested in the UK. The Wedding Keepers' UK RSVP guide gives that range and is clear that it is a range, not a rule. Some other wedding guides suggest three to four weeks, so you will see different advice depending on where you look.

Treat four to six weeks as a starting point, then adjust it to your own suppliers. A small wedding with a relaxed caterer can work with a later date. A large wedding, a destination wedding or a venue with an early cut-off needs an earlier one.

Why should you work back from your final numbers date?

Because your caterer's deadline is the date that actually matters, and it varies a lot. There is no single UK standard. The Wedding Keepers found published cut-offs ranging from one week to around two months before the wedding, depending on the venue and whether you have exclusive use.

So start with your contracts. Look for the date your venue, caterer or cake maker needs:

  • final guest numbers;
  • meal choices for each guest;
  • dietary needs and allergies;
  • your table plan, if they lay the tables.

Take the earliest of those dates and set your reply deadline two to three weeks before it. That buffer is your chasing time. Without it, every late reply lands at the moment you have the least room to deal with it.

When should you send invitations so guests have time to reply?

Send your invitations far enough ahead that guests have a few weeks to answer before your deadline. A common UK timeline is save the dates six to 12 months before the wedding and invitations two to three months before. If your invitations go out ten weeks before the wedding and your reply date is five weeks before, guests have around five weeks to answer, which is plenty.

For a destination wedding, give everyone more notice. Guests need time to book travel and time off, so both your invitations and your reply date should come earlier.

How do you word the RSVP deadline?

Give a specific date, including the day of the week, and say how to reply. "Please reply by Saturday 1 May" is clear. "Please reply soon" or "please reply by spring" is not, and it gives guests every reason to put it off.

If you are inviting guests on WhatsApp, the date goes in the message itself:

Hi Sarah and Tom, we would love you to join us on Saturday 12 June at The Old Barn, Little Ashby, from 1pm. Please reply here by Saturday 1 May with your meal choices and any dietary needs. With love, Emma and James

Ask for everything in that one reply: whether they can come, meal choices, dietary needs and the name of any plus-one. Our guide to wording your wedding RSVP has more lines you can copy.

Should you tell guests the real deadline or an earlier one?

Give guests the date you actually need, and keep your buffer to yourself. Setting your reply date a couple of weeks ahead of your caterer's cut-off already builds in breathing room. Asking for replies much earlier than that can feel pushy to guests who have only just received their invitation, and it rarely makes the late repliers any quicker.

What happens when the deadline passes and some guests have not replied?

Some guests will always miss the date, and that is normal. Plan for it rather than worrying about it. A day or two after your deadline, send a short, friendly nudge to anyone you have not heard from. Most people simply forgot, and a personal message is usually all it takes.

Keep it warm and easy to answer. A single line asking if they can make it, with a new date a few days away, works far better than a long message. Our guide to chasing wedding RSVPs without the awkwardness has wording for each round of reminders.

Can a reply deadline work on WhatsApp?

Yes, and it often works better. A message on WhatsApp is seen quickly, and guests can answer in a few seconds from wherever they are. That makes it easier to hit your date, and easier to send a gentle reminder to the guests who have not got round to it yet. If you are planning to collect replies this way, our guide to collecting wedding RSVPs on WhatsApp explains how to keep every answer in one place.

How does AisleReply help?

AisleReply sends each guest a personal WhatsApp message with your wedding details and your reply date, and they answer right there in the chat. Meal choices, dietary needs and plus-ones come back in the same conversation, and you watch your numbers update on a live dashboard. On the Standard and Premium plans, guests who have not replied get a polite reminder on a schedule, so you are not the one doing the chasing, and you can export the final list for your caterer. If you have questions, our help centre covers the details.

The short version

Find the date your caterer needs final numbers, set your reply deadline two to three weeks before it, and send invitations early enough to give guests a few weeks to answer. For most UK weddings that lands somewhere around four to six weeks before the day. Give a clear date, ask for everything in one reply, and plan a friendly nudge for the guests who miss it.
